How BeOne Medicines Automates T&E for Thousands of Travelers with Concur

At BeOne Medicines, that mindset helps support a global travel and expense program that serves thousands of travelers across multiple countries. Payal came into the role with a strong SAP background and has since expanded her expertise to cover the full travel and expense landscape, including implementing and growing Concur into new markets.

We spoke with her at Fusion 2026 about how BeOne uses automation, where integration with SAP S/4HANA has made the biggest difference, and what she sees coming next in AI-powered T&E.

Taking the administrative burden off of travelers

BeOne Medicines has a wide traveler population: field sales representatives who are constantly on the road, R&D staff, executives, and everyone in between. Managing expense submissions across that breadth of roles and activity levels is only workable at scale if the system is doing most of the heavy lifting.

For Payal, the most important thing Concur provides for travelers is freedom from administrative work. Field sales representatives in particular should be connecting with healthcare professionals and doing their jobs, not managing receipts. The corporate card feed integration means transactions flow directly into expense reports without manual entry, and the mobile capture tools mean employees can handle the few steps that do require their attention from wherever they are.

The same principle applies on the finance and T&E team side. With Intelligent Audit handling the first pass on expense report review, T&E staff are no longer spending their days validating individual receipts line by line. That shift has freed them up to focus on program strategy: identifying automation improvements, updating policy, and building a long-term roadmap.

Direct Concur and SAP S/4HANA integration: no manual handoffs, no delays

BeOne is an SAP shop, running on S/4HANA, and for Payal, the native financial integration between Concur and SAP has been the most significant capability she has worked with. Before the direct integration was in place, getting expense data into the ERP required manual file extracts, scheduled jobs, and ETL processes that created delay, dependency, and potential for error.

Today, the integration runs continuously. Financial postings appear in SAP without anyone needing to trigger them. AP teams can see that entries are already there before payments go out. When something does fail, the SAP cockpit and the raw JSON payload from Concur let Payal pinpoint the exact line causing the problem and resolve it specifically, rather than trying to work backward from a general error.

The financial integration also supports audit readiness. Because the data flows automatically from validated source systems into other validated systems, with no manual intervention touching it in between, BeOne qualifies the integration as an IT automated control. When external auditors review the expense program, they can see the process working rather than having to review stacks of documentation. That translates directly into fewer questions and a faster audit cycle.

Beyond the ERP, BeOne runs several other automated integrations through Concur. HR system data feeds employee records automatically, keeping Concur current as the organization changes. Healthcare professional data, important for pharmaceutical companies tracking interactions under Sunshine Act requirements, is also fed in systematically so that HCP names and details are never manually entered by employees, removing a significant source of data quality risk.

How Concur Makes Adding New Countries Fast and Simple

Since joining BeOne, Payal has also helped roll out Concur to additional countries.

One aspect she highlights is the flexibility available to administrators. She estimates that adding five new countries could be done within a week. The platform’s configuration tools are built to be used by administrators, not just developers, which means country-specific fields, forms, and approval structures can be set up without a full implementation project. The only areas that require real attention are the customizations unique to each country’s regulatory or reporting requirements, and even those are designed to be straightforward to configure.

The return to Concur Travel is part of the same broader direction. BeOne had previously used an indirect contract for travel booking, which created compliance friction and a less integrated experience. Going direct with Concur Travel, using the same TMC but under a direct contract, gives the team better control, better integration between booking and expense, and a more consistent experience for travelers across the organization.

From Payal’s perspective as a traveler herself, the case for an integrated platform is simple: one place to book, one place to expense, and systems that talk to each other so that a booked flight already appears in an expense report without anyone needing to enter it manually.

What's next: AI audit rules and Joule for smarter T&E

BeOne currently uses Intelligent Audit to help review expense reports and support a lean travel and expense team. The AI and human review combination means expense reports are reviewed for compliance without the T&E team having to touch every one. The advanced version they use also provides a human backstop for cases the AI cannot confidently resolve on its own.

Looking ahead, two developments have Payal’s attention. The first is a new AI-powered audit rules tool she heard about at Fusion 2026, which would allow T&E administrators to describe what they want an audit rule to do in plain language rather than writing conditional logic themselves. For Payal, that kind of tool removes an unnecessary barrier between what the T&E team knows and what the system can actually enforce.

The second is Joule. What stood out to her in product demonstrations was the ability to interact with travel tools in a more natural way. Rather than navigating multiple booking screens, travelers could simply describe what they need and receive relevant, compliant options. For frequent travelers, she sees that as another opportunity to reduce friction and improve efficiency at scale.
