What is the weather like in Orlando in May?
The weather in Orlando during our conference dates is typically 66-78°F and the average rainfall for the month of May is 3.71 inches. Please bring proper attire so that you are comfortable outdoors as well as throughout the conference. Evenings and meeting rooms can occasionally be cool, so come prepared for fluctuations in temperature. Check www.weather.com before you arrive.

How should I make air travel reservations to Orlando?
Orlando International Airport (MCO) is an easy 30-minute drive to and from the Hilton Orlando Bonnet Creek. To get the best fares and schedule, reserve your air travel as soon as possible. How do I arrange ground transportation?
Airport shuttle service will be provided complimentary between Orlando International Airport (MCO) and the Hilton Orlando Bonnet Creek for arrivals from 11 a.m. – 5 p.m. on Tuesday, May 8, and departures from 10 a.m. – 4 p.m. on Friday, May 11. Upon arrival at Orlando International Airport (MCO), attendees will follow airport signage to baggage claim at the main terminal located on Level Two. Once luggage is claimed, attendees will then follow airport signage to ground transportation Level One. Mears Transportation staff (in yellow polo shirts) and will be positioned at Terminal A (bus spaces # 26-31) and Terminal B (bus spaces # 21-28). Staff will then load guests onto the vehicles for transfer to Hilton Orlando Bonnet Creek. Attendees will be shuttled from MCO every 30 minutes starting at 11 AM and the last shuttle will depart the airport promptly at 5 PM. If you arrive outside of this window, you may use the Mears Transportation shared ride shuttle, the desks are located at each end of the rental car counters on Terminal A and B. Taxis are also available on Level One. For departures, the buses will depart the hotel from the conference center porte cochere, the doors by the Zeta Bar and the Disney Gift Shop. Mears transportation staff will be positioned by the porte cochere and buses will depart every 30 minutes starting at 10 AM and the last shuttle will depart the hotel promptly at 4 PM. Mears Transportation suggests you leave the hotel 2 ½ hours prior to your flight time. The shuttle will drop off on both sides of the airport for your convenience. Just look for the Fusion 2012 signs!

Are there car rental discounts for Fusion 2012?
Yes. Concur has partnered with Hertz Car Rental to secure special rates for Fusion 2012. Click here for further information. The hotel offers 24-hour valet parking ($20 plus tax) and self-parking ($13 plus tax).

How do I book my hotel reservation?
Unfortunately, the dedicated block of rooms for conference attendees at the Hilton Orlando Bonnet Creek at the special room rate of $189 per night, plus applicable taxes, is now SOLD OUT! Alternatively, Concur has set up overflow room blocks for conference attendees at the following hotels:

Through what date can I book a hotel room with a guaranteed discounted rate?
The above discounted group rates are valid May 8–11, 2012 and are available for pre- and post-conference dates, based on availability. The cut-off date to make reservations is Saturday, April 14, 2012, after which reservations will be accepted on a space- and rate-available basis. The hotels cannot guarantee the group rates once the room blocks are sold out.

What time is check-in and check-out at the hotel?
Check-in time is 3 p.m. and check-out time is 12 p.m. Guests are permitted to check in early or check out later, subject to room availability. The hotel’s bell services will store baggage at no charge for early arrivals and late departures.

What is the hotel room cancellation policy?
The hotel will require one night’s deposit in advance to guarantee the hotel reservation. All credit cards used to prepay will be charged immediately and a hotel confirmation will be sent to the guest. The hotel shall refund deposits for cancellations received prior to 6 p.m. three (3) days before the arrival date. No refunds shall be granted after this time.

If I cancel my registration, can I transfer my hotel reservation to another attendee?
Attendees are responsible for booking their own hotel reservations; therefore, you will need to contact the hotel directly to transfer the hotel reservation to the new attendee. Please contact the Hilton Orlando Bonnet Creek directly at (407) 597-3600.

What if I don't check-in on my scheduled arrival date?
If you don't arrive on your scheduled arrival date, the hotel will cancel your entire reservation and can opt NOT to reinstate your reservation, even if you arrive the next day. You will also be charged the penalty of the cost of one night's room and tax, regardless of whether or not the hotel opts to reinstate your reservation.

How do I request a visa invitation?
You can request a visa invitation letter to assist in obtaining your visa so you can attend Fusion 2012. You must register for the conference prior to requesting a visa invitation. Please send an email to Fusion@concur.com and provide the following information:
