Who is Concur Breeze for?

Concur® Breeze is for any company looking for a quick and easy way to integrate and set up an automated expense management process. It's accessible via a PC or mobile device, and comes with embedded reporting features.

How long does the free trial last?

The trial will last 30 days from the day you register and start creating and submitting your own business expense reports.

How will I know when the free trial is ending?

Concur will send you an email to inform you that the trial is about to end. You will then need to subscribe to the service to keep using the application.

Can I add new users throughout my trial?

Yes you can. There is no restriction to the number of users for Concur Breeze. It is always free to add the first two subscribers to the service. It is easy to add new users to the existing service both during the trial and once subscribed.

How do I register for the free trial?

Just click "Free 30-Day Trial" and follow the steps highlighted in the Setup Wizard.

Do I need to provide my card details for the trial?

No.

How do I convert my free trial to a monthly subscription?

You need to subscribe. Please look for an email from Concur asking you to follow a few comprehensive steps to subscribe after your free trial period has come to an end.

Can I try Concur Breeze for free on my mobile as well as on my desktop?

Yes. To log in to Concur on your mobile device, you must enter your User Name and a Mobile PIN. To set up a Mobile PIN, log into Concur online and navigate to My Account to create your mobile PIN. Once this has been completed you can start to use the Concur mobile application to access your business expense claims whilst out and about.

Is there a charge for the mobile application?

No.

How do I register for the free trial?

Just click free trial and follow the steps to register for the 30-day free software trial.

Do I need to provide my card details to subscribe to the service?

Yes. We need this in order to take £6 per month per user – but we only start charging once the free trial is over. Don’t forget the first 2 users in your company are free for the life of your subscription!

How do I convert my free trial to a monthly subscription?

After the trial period you will get an email from Concur Breeze letting you know that the trial is coming to an end. In this email it will explain all the steps you need to subscribe and get you started.

Can I try Concur Breeze on my mobile as well as on my desktop?

Yes. You can login to Concur Breeze using either option to create, submit, approve and manage your business expenses. You need to create a PIN online first, then you can use this PIN to access the application from your mobile.

I am worried I may set this up wrong, who can help me with the set up?

The product has a Setup Wizard which guides you through the set-up process. You will be sent an email from the Concur Breeze team once you have downloaded the free trial, offering you help. Feel free to contact us at any time if you have any questions.

How do I add my credit card to Concur Breeze?

We will ask you for your credit card details once you decide to subscribe to our service. This is when your credit card details will be taken and this will be the card that we bill the £6 per user charge each month. You can add other cards and change the card details by going to the My Account page in Concur Breeze and then edit your settings.

How do I add a user to my account?

It is very easy to add and amend user status with Concur Breeze. You need to have administrator access to be able to make any changes to the account. New users are added by going to the Setup tab. From here, click on Users from the list and then select New User.

Enter the employee’s information and create a temporary password. Email your new user their login information and have them go to www.concur.com/en-uk/login to log in. Once logged on, they can change their password and add their credit card information associated with their expense reports – with the added protection of securing their own password and login details.

How will I know if overspending is happening?

You can add alerts in Concur Breeze to make you aware of expenses submitted that exceed the spend allowance that you set for that item. This means you are always in control of your business expenses.

I don’t have time to keep reviewing spend, can reports be automated and alerts be sent to me?

Report automation is very easy to set up in Concur Breeze. You create the reports you want to see, and you decide when you want these and who they should be emailed to. You also have the freedom to create alerts and who should receive the email highlighting the spend alerts you decide to set. Once these automated reports and alerts have been created, they will continue to be emailed until you make the changes.

Once I have photographed a receipt, will it be submitted straight away?

No. Concur Breeze will automatically ask you if you want to add this photo to an expense line item in an existing report first. If you click yes, then it will go to that relevant expense type i.e. train, hotel, flights and so on. If you click no, then this photo will be saved in your photo library until you are ready to append this to any other reports.

On my company credit card I sometimes have personal expenses that I do not want to submit – how can I break these out from the reports?

Concur Breeze will ask, by line item, if you want to add each expense to your claim. This way it is easy for your company to filter credit card expenses as business usage or personal usage.

How do I set up expense types?

Whichever expense types you already have, Concur Breeze can integrate with these via the Setup Wizard. To create further expense types as your business grows, go to my account then select Expense Types and click New.

How and when will you bill me?

We take your credit card details from you when you subscribe. So we will bill this card every month.

Can I get a snapshot of my company expenses at any time?

Yes. Just go to ‘view and edit reports’ and they will all appear.

How are my expenses approved?

You decide who approves the expenses, so this person will receive all the reports that need approving via email. If you manage and approve all the expenses yourself, there is an ‘approve reports’ tab in Concur Breeze to view prior to approving.

Which mobile phones are able to run the Concur Breeze application?

iPhone™, iPad, BlackBerry® and Android® devices can all download Concur Breeze.

Is the mobile app free?

Yes. There is no additional charge for using the application via the mobile device or for downloading the application.

How do I sync my smartphone with Concur Breeze

You do not need to do any manual synchronisation. You just need to make sure you follow the set up steps and create a Mobile PIN online in My Account first. Then you are ready to get going!

If I am registered to use Concur Breeze, do I automatically get free access to use the mobile application version?

Yes it is free. However, to take advantage of the mobile application you will need to create a PIN and download the application from your handset.

Where does Concur Breeze appear on my mobile?

Concur Breeze will sit on the home screen of your device. You can move it into any folder, just like any other application on your handset.

Are my credit card details secure?

Yes, absolutely secure. Concur is the world leader in expense management with millions of subscribers worldwide. All data is encrypted in Concur Breeze to the highest standards. We provide bank level security, have regular external security and operational audits and perform extensive security scans of Concur Breeze service. Rest assured, your business is safe with Concur.

Can I change my password once I have registered?

Yes. Once you are a subscribed user you can change your password at any time by going to My Account. We recommend you change your password regularly to keep your personal information secure.

Can anyone but my organization see what is being submitted and view our company expense reports?

No.

How will my data be used?

No one in Concur can access any of your expense reporting or card details. Concur will contact you from time to time via email or phone. We will not transmit, sell or use any of your information or pass this information on to any third party.
